Event Management Services for Cowley Road Carnival 2024

Overview: Cowley Road Works is seeking proposals from experienced event management companies or individuals to develop and execute the Event Management Plan for Cowley Road Carnival 2024. The selected contractor will have the opportunity to build upon the existing draft plan from the 2023 carnival, which will serve as a valuable foundation for this year’s event.

Background: Cowley Road Works is dedicated to engaging communities through exposure to excellence in arts and culture. Our flagship event, Cowley Road Carnival, is the culmination of our efforts to unite communities, foster inclusion, and celebrate diversity through world-class arts and culture. As part of our mission, we aim to deliver a professional and sophisticated event that is compatible with the diversity of the neighbourhood, embraces its rich cultural mix, and meets public benefit objectives.

Scope of Work: The selected event management company or individual will be responsible for:

• Developing and finalising the Event Management Plan for Cowley Road Carnival 2024, building upon the existing draft from the 2023 carnival.

• Coordinating with stakeholders to ensure alignment with regulatory requirements and permit conditions.

• Implementing strategies to enhance the attendee experience and promote community engagement.

• Providing comprehensive logistical support, including site preparation, vendor management, safety measures, and crowd control.

• Overseeing volunteer recruitment, training, and management.

• Liaising with local authorities and emergency services to ensure compliance with health and safety regulations.

• Conducting post-event evaluation and providing recommendations for future improvements.

Requirements: The ideal candidate will possess:
• Demonstrated experience in developing and executing event management plans for festivals, carnivals, or large-scale outdoor events.

• Strong organisational and project management skills, with an ability to effectively utilise existing plans and adapt them to current circumstances.

• Excellent communication and interpersonal abilities, including the capacity to work collaboratively with diverse stakeholders.

• Knowledge of health and safety regulations, crowd management techniques, and risk assessment procedures.

• A commitment to diversity, inclusion, and community engagement.

• Company or individual profile, highlighting relevant experience and qualifications.

• Proposed approach to developing and executing the Event Management Plan for Cowley Road Carnival 2024, with a focus on leveraging the existing draft from 2023.

• References or testimonials from previous clients, particularly related to similar events.

• Any additional relevant information or supporting documentation.

We’re on the lookout for passionate and talented individuals to join us on our exciting journey towards the Cowley Road Carnival on July 7th. If you’re enthusiastic about community events, creativity, and making a difference, we want to hear from you!
Here are the available freelance positions:

1. Procession Manager: Lead the planning and execution of the carnival procession, ensuring a smooth and vibrant parade experience for all participants and spectators.

2. Volunteer Coordinator: Recruit, train, and manage a team of volunteers to support various aspects of the carnival, fostering a positive and engaging volunteer experience.

3. Office Administrator: Provide essential administrative support to the carnival team, including managing communications, scheduling, and documentation.

4. Outreach Officer: Engage with local communities, businesses, and organizations to promote participation in the carnival and foster partnerships and collaborations.

5. Production Manager: Oversee the logistical and technical aspects of carnival production, including stage management, sound, and lighting.

6. Mas Camp Leaders: Creative artists leading on costume making, inspiring and guiding participants in the creation of stunning carnival attire

7. Artists: If you’re an artist interested in contributing to the Cowley Road Carnival but haven’t yet been in touch, we want to hear from you too!
